Account Settings
To check your account settings, go to https://emory.zoom.us/ Links to an external site. and log in with your Emory account.
Profile Settings
Under Profile on the left side panel, you can change your display name. You can change your name, add your preferred pronouns, add degree abbreviations, etc.
(Note that this page should show that your user type is Licensed. If it instead shows that you have a Basic account, your account does not have full access to the Zoom Pro services from Emory. Reach out to Emory IT Links to an external site. to get access to Zoom Pro benefits.)
Other Settings
You have substantial freedom to change a variety of options within Zoom to best fit your teaching style. It may be helpful to revisit these settings as you become more familiar with Zoom.
These settings will be the default for your account and all of your scheduled meetings, but you can personalize many of these for individual meetings. (For example, you might set up a Zoom event for a 50 person class very differently from a meeting with 3-5 people.) You can change these settings when you create an event or live during a meeting.
A few options are highlighted below, and you can find more information on the Zoom Support page for changing account settings Links to an external site..
Security
To prevent Zoom bombings or another security issues, it is recommended to require a Passcode and/or enable the Waiting Room for meetings that you host.
Passcode
A Passcode is simply a password that is required to enter the Zoom meeting.
If you enable this option, you can share the Meeting ID and Passcode with the meeting attendees or share a link with the Passcode embedded. You can get the Passcode and secure link on the Zoom meeting invitation. (If you don't know how to view the meeting invitation, visit the Setting up Zoom Rooms & Meetings page in this course.)
For more information, please visit the Zoom Support page for Passcodes Links to an external site..
Waiting Room
The Waiting Room is exactly what it sounds like - it means that the host has the ability to admit users into their Zoom meetings.
While the waiting room is open, no participant can join the meeting unless you or a designated co-host manually admit them using the Participants menu. You can admit users one at a time or use the "Admit All" option if multiple users are in the waiting room. Additionally, you can disable the waiting room at any time using the Security button. (Once the waiting room is disabled, all new users will automatically join the meeting, but you must still admit any users that were in the waiting room previously.)
For more information, please visit the Zoom Support page for the Waiting Room Links to an external site..
Tips
The Waiting Room is useful if you need to manage any logistics before opening the meeting; for example, if you want to:
- test your audio, video, or screen sharing
- welcome and prepare a guest speaker for your class
- talk with your TA(s) before class
For large classes or other meetings with a large number of attendees, manually admitting each student/user may be cumbersome. To avoid this but still receive the benefits of the Waiting Room feature, you can:
- disable the Waiting Room once you are ready for class and use the "Admit All" option
and/or - have someone else in the meeting (e.g. a TA) handle admitting students from the Waiting Room
Schedule Meeting
- It is recommended that you disable Join before host as the default. If this option is enabled, users will be able to join before you start the meeting.
In Meeting: Basic & Advanced
In Meeting (Basic)
- It is recommended to enable Auto saving chats, as it may be helpful to have access to the chat logs after a meeting.
- You can change Sound notification when someone joins or leaves if you are worried that this notification will be distracting when participants enter or leave early/late.
- If there will be multiple facilitators of a meeting (e.g. multiple instructors, TAs, guest lecturer), enabling Co-host will allow each co-host to have the same in-meeting controls as the host. (See the subsequent section on co-hosts for more information.)
- If you plan on having participants use the Screen sharing, Annotation, Whiteboard, and Meeting reactions features frequently, it may be helpful to enable them here.
- It is recommended to enable Allow participants to rename themselves so participants can change their display name as needed.
In Meeting (Advanced)
- You can enable Breakout Rooms (a useful feature for small group activities) and Virtual Background
- The Identify guest participants in the meeting/webinar feature can indicate which participants are logged in with an Emory account. Anyone not logged in to Zoom with an Emory account will be listed as a guest.
